Description

Basic Function: Set up and manage group reservations and billing, perform site tours, answer overflow leisure calls, assist with group spa reservations, and contribute to the overall profitability of the resort

Work Performed:

  1. Set up group blocks and group room reservations in the PMS after receiving a copy of the group contract with proper coding, commission info, general booking instructions, room allotments, etc. in a quick and timely manner upon receipt of contract
  2. Notify sales when group blocks are created by supplying an initial rooming list of room types blocked
  3. Notify appropriate personnel and group contacts when approaching attrition dates, and cut-off dates
  4. Process the initial group deposits as set forth in the contract when C&CS is unable to
  5. Analyze group pick-up leading up to the arrival date to determine if addendums or washes are required.
  6. Keep sales staff informed of group pick-up
  7. Secure commitment from group contacts for overages that do not mandate an addendum
  8. Manage changes to the group block and maintain a professional relationship with the group contact and sales staff
  9. Meet with clients to review group routing upon request
  10. Maintain current and accurate files on groups. Adding updates and changes to the files as they occur
  11. Update Daylight with pertinent notes, and group pick-up at conclusion of program
  12. Attend weekly sales meeting when appropriate, resume meetings and/or pre-con meetings.
  13. Manage group billing instructions within the PMS. Setting up group packages as needed.
  14. Coordinate/confirm group spa services and group spa billing
  15. Processing deposits for group and leisure guests in the form of a check or credit card
  16. Occasionally charge initial group deposits when C&CS is unable to
  17. Credit deposits back upon receiving a cancellation
  18. Maintain knowledge of property offerings and local area and ability to communicate this information
  19. Show clients around the resort in a professional manner
  20. Updating group information within Daylight and the PMS and setting up group routing
  21. Deal effectively with all departments and regular communication with appropriate manager
  22. Ensure that group/guests have a positive experience take necessary steps to correct deficiencies
  23. Negotiate room blocks, room rates, function space, food and beverage prices, and Hotel/Resort services within approved departmental booking guidelines
  24. Confirm in writing to the client and all affected hotel/resort departments all group requirements via group sales contract, corporate rate agreement, or catering event order
  25. Other duties as assigned

Qualifications

Minimum Requirements:

High school education or equivalent. Prior Group Rooms Coordinator experience required. Prior experience with reservation, sales, and catering preferred. Knowledge of Agilysys/Visual One highly preferred. Computer literate and must have good communication skills
