Description

Handle daily responsibilities to ensure groups and group programs are provided with services expected at a Four Star Resort. Responsibilities include selling and ‘up-selling’ banquet food and beverage, assisting customers in all aspects of program planning stages, creating/revising of BEO's and resumes to disseminate clients detailed specifications to staff and associated vendors, supervising functions and following-up with all concerned

Work Performed:

  1. Effectively sell public space, food, beverage and services of the resort to maximize revenues and profitability for the Resort
  2. Work with Sales and Banquet Departments to generate maximum revenues, develop new events and activities, and ensure repeat bookings through exemplary service
  3. Keep up with trends in the hospitality Industry to enhance the efforts for Sales and Banquets
  4. Maintain room sets and capabilities.
  5. Know of all aspects of Resort, including guestrooms, services and outlets
  6. Understand local dining, activity and transportation options
  7. Meet and greet group or local customers and coordinate pre-conference meetings for all programs
  8. Develop menus, agendas, ensure BEO’s/Resumes are issued in a timely manner, and completes all pertinent correspondence with outside vendors to finalize programs
  9. Contact groups within 48 hours of signing contract
  10. Follow through to completion of function(s) including post program needs
  11. Maintain pricing integrity and propose upscale menus for all groups
  12. Interact with outside planners and vendors for special events
  13. Establish and maintain good working relationships with outside vendors and contacts
  14. Assist the customer in menu planning; coordinate food, beverage, table arrangements and decorations; assures arrangements are completed as specified
  15. Conduct tours of the hotel and banquet facilities; entertain clients as necessary in accordance with the company and property policies
  16. Read, analyze and interpret general business documents related to groups
  17. Write reports and business correspondence relating to groups
  18. Effectively communicate guest needs and respond to questions from managers and associates relating to groups
  19. Determine proper function space requirements needed from the customer’s specifications deal with room rates and hotel services to maximize profits and ensure client satisfaction
  20. Communication with internal and external customers, confirming all requirements in writing to the customer and all affected resort departments
  21. Maintain a sales mentality and an interest in getting involved with local community/organizations to sell available function space to maximize revenues
  22. Maintain proficiency with Delphi Software used in Group Sales & Operations
  23. Assist with local catering sales, development of new business and maintenance of current local business
  24. Other duties as assigned

Supervision Exercised: Assists Director in supervision of Catering Coordinator and Banquets Department

Supervision Received: Director of Catering & Conference Services

Responsibility & Authority:

  1. Maintain a high level of guest service and satisfaction at all times in all related areas
  2. Uphold the resort commitment to hospitality
  3. Work closely with all departments to ensure guest service levels are being met or exceeded
  4. Deal effectively with internal and external customers with regular communication.
  5. Remain professional in all aspects of the job including written communication.
Qualifications

Minimum Requirements:

College degree and/or equivalent work experience. Minimum 2 years working in a hospitality environment with Catering and Conference Services experience preferred. Must have excellent interpersonal and communication skills, both verbal and written. Must be available to work extremely flexible hours. Ability to apply common sense with understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving clients and operational issues. Must be able to handle multiple projects simultaneously with ease. Strong negotiating skills required. Ability to be proactive and innovative. Strong computer skills including proficiency with Word and Excel. Delphi software experience preferred
