Basic Function: Assist Director of Activities in day-to-day coordination of all paid activities and private requests (Hike, Bike, Cultural/Educational). Respond to guests’ immediate needs for mountain bikes, croquet or golf equipment located at the Activities Center. Oversee hiking and biking staff and their scheduling and general needs. Assist in developing and implementing programs, projects, special events and activities designed to increase revenue.

Work Performed:

  1. Oversight of outdoor activities through the Activities Center or another location
  2. Resort’s main point of contact for trail information and booking hiking and biking excursions
  3. Weekly schedule maintenance, booking activities in V1, general administration and data entry
  4. Work with Activities staff and Concierge in scheduling, booking, and charging of private activities
  5. Communicate to staff and guests regarding changes in regularly scheduled Hiking/Biking and Cultural/Educational activities
  6. Schedule Hiking and Biking, Cultural/Educational staff and lead meetings when required
  7. Handle guest and employee relations issues while upholding HR policies and procedures and company basics
  8. Gather and track guest activity attendance
  9. Track guest comment trends and present information in an intelligent manner
  10. Create and implement policies and procedures for Activities Department
  11. Train all new Hiking team members and make sure the training program is current
  12. Fill-in when last minute guest hiking requests cannot be confirmed with other guides
  13. Assist in cross-marketing efforts
  14. Create, edit, print and distribute promotional material on property
  15. Liaise with groups regarding Activities requests and be the point of contact during event
  16. Assist department leads with activity-focused projects
  17. Attend Safety Committee meetings, Employee Feedback meetings and communicate updates to the department as required
  18. Assist in the planning and execution of resort special events, activities and programs
  19. Other duties as assigned

Supervision Received: Director of Activities

Responsibility and Authority:

  1. Understand functions of various departments, including Concierge, Camp Coyote, Tennis, Native American programs, Guest programs, Special Events, Hike and Bike programs
  2. Act in place of Director of Activities in his/her absence as assigned
  3. Be available on-call based upon occupancy and availability of tasks and work flexible hours
  4. Make decisions that first take into consideration the welfare of the staff and the resort when dealing with guest complaints
  5. Complete projects without direct supervision
  6. Implement, organize and direct activities, special events & promotions
  7. Prepare purchase requisitions as needed and obtain Director of Activities signature and approval
  8. Responsible for guests’ safety when loaning out equipment and when guiding hikes (refer to Hiking Guide job description)

Qualifications

Minimum Requirements:

Prefer B.A. Degree in Activities Management/related field or two years’ experience in physical education/fitness, recreation, or education. Previous experience in recreation, resort and hospitality industries preferred. Must have strong organizational skills, excellent written and verbal communication skills and be able to perform and prioritize multiple tasks with ease. Strong computer skills including Microsoft Office (Word, Excel, Power Point). Self-motivated, organized, and creative with strong public relations skills. Excellent team member relations skills. Must be able to maintain current CPR and first aid certification. Must have clean driving record. Safety sensitive position.
